Job Description

Position Type: Contract-to-Hire

Duration: 9/1/2025 – TBD (initially ~2 months, with potential to convert if a strong fit)

Location: Hybrid – Los Angeles, CA (90038)

Schedule: Monday, Wednesday, Thursday on-site | 9:00 AM – 6:00 PM

Compensation: Pay Rate $2-24/hr.

Job Summary

We are seeking an Administrative Assistant to provide administrative support to the EVP and assist with broader departmental needs. This role is ideal for someone with 1–2 years of administrative or coordination experience, excellent organizational skills, and a proactive, upbeat attitude.

Key Responsibilities

  • Manage heavy scheduling and calendar coordination for meetings with multiple participants
  • Coordinate meeting logistics including decks, display presentations, and related materials
  • Process expense reports and perform invoicing across various areas
  • Draft correspondence and prepare presentations as needed
  • Assist and collaborate with other departments and external contacts
  • Manage office supply orders and prepare purchase requisitions
  • Support vendor onboarding, document coding, and payment processing
  • Coordinate and maintain travel itineraries and expenses
  • Provide general office administrative support and other duties as assigned

Qualifications

  • 1–2 years of administrative assistant or coordinator experience
  • Strong organizational skills with high attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Docs
  • Ability to multitask and adapt in a fast-paced environment
  • Demonstrated professionalism and confidentiality in handling sensitive information
  • Positive, upbeat, and self-starting with a team-oriented mindset
  • Ability to work hybrid schedule (3 days onsite per week)
