Administrative Services Manager (ASM)
Flagstaff Arts & Leadership Academy (FALA) is seeking an Administrative Services Manager (ASM) to manage the school’s core administrative systems, compliance functions, and registrar duties in alignment with school policies, charter regulations, and state requirements. This position is central to maintaining financial integrity, student data compliance, and effective organizational operations across finance, HR, compliance, facilities, and outreach. The ASM reports directly to the Superintendent and plays a vital role in supporting the school’s mission, governance standards, and long-term sustainability.
Core Responsibilities
· Track and reconcile school expenditures in QuickBooks in accordance with USFRCS standards.
· Coordinate payroll data, employee contracts, and ASRS uploads.
· Prepare and submit grant reimbursements via the GME system.
· Maintain up-to-date and compliant employee records and personnel files.
· Oversee registrar responsibilities including Infinite Campus records, AzEDS state reporting, FERPA compliance, and enrollment forecasting.
· Maintain the school’s internal compliance calendar and support required submissions to ASBCS, ADE, IRS, and other entities.
· Support board packet preparation and documentation for audits, grants, and bondholder compliance.
· Coordinate purchasing, vendor records, inventory tracking, and internal service ticketing for facilities and tech support.
· Assist with campus tours, enrollment inquiries, and basic marketing and outreach tasks.
Qualifications
· Bachelor’s degree in business, public administration, education, or a related field preferred.
· 3+ years of progressively responsible experience in school operations, nonprofit administration, or related business or compliance roles.
· Familiarity with basic financial reporting practices or GAAP is preferred.
· Proficiency in Microsoft Excel, Google Workspace, Adobe Acrobat, and QuickBooks or similar accounting software.
· Experience with Infinite Campus, AzEDS, and Arizona charter compliance is a plus.
· Strong communication, organization, and systems-thinking skills.
· Ability to work independently, manage sensitive data, and collaborate across departments.
Position Details
Full-time, exempt salaried position reporting to the Superintendent.
Annual Salary Range: $58,000–$65,000 depending on qualifications and experience.
Includes full health insurance (medical, dental, vision), ASRS participation, and paid time off.
Start Date: As soon as filled.
