Job Description

We are seeking a Pay Department Clerk to join our growing team. Reporting to the Pay Department Supervisor, this role involves managing banking transactions, processing deposits and refunds, and maintaining accurate financial records for clients. You’ll work in a fast-paced environment requiring strong organizational skills, attention to detail, and effective communication.

Key Responsibilities

• Process reimbursement requests (weekly, bi-weekly, monthly, and special) using IS Department registers.
• Monitor account deposits and update client spreadsheets/ledgers.
• Submit positive pay files and manage banking exceptions.
• Initiate stop payments with client approval.
• Scan and verify check counts; maintain verification logs.
• Review and distribute checks, ensuring proper signatures.
• Handle daily mail, including returned checks and refunds.
• Enter refund checks and voids into the Pay Management System.
• Manage subrogation, SDF, and excess recoveries, coordinating with QA Manager.
• Maintain daily registers and reconcile bank statements.
• File client correspondence and financial documents.
• Prepare spending analyses for funding adjustments.
• Update departmental procedures and manuals.

Qualifications

Required:

• High school diploma
• Proficiency in Microsoft Office Suite, especially Excel

Preferred:

• Degree in Finance or Accounting
• Experience in banking and bank reconciliation
• Familiarity with banking platforms and proprietary claims systems
• Relevant certifications in finance or accounting
